To ensure a successful onboarding experience and operational setup with Felix, Property Managers (clients) are responsible for the following:

1. Compliance & Documentation

Customise and provide the following documents using Felix-provided templates:

  • Terms & Conditions (General Policy)

  • Cancellation Policy

  • Website Privacy Policy

  • Website Terms of Service

  • Submit approved documents via the Onboarding Form

  • Ensure legal review and internal approval of all content

2. Financial Setup

  • Set up a Stripe account for credit card payment processing and provide an admin login to Felix

  • Provide read-only access to the trust account for reconciliation (only if using trust accounting managed services via Rental Fox)

  • Supply trust and operating bank account details for:

    • Guest payments

    • Owner payouts

    • Management fees and commissions

  • Confirm ABA file settings with their bank and provide required details for automated payouts

  • Ensure all property owners have Australian bank accounts (not international)

  • Submit details via the Onboarding Form

3. Property Setup Requirements

  • Complete the Onboarding form before adding any properties

  • Provide the minimum required data per property, including:

    • At least 8 high-quality, landscape photos

    • Property name, summary, and full description

    • House rules

    • Neighbourhood information

    • Features and amenities

    • Owner contact and commission details

    • Pricing, fees, occupancy settings

    • Cancellation policy

    • Type of check-in (self, lockbox, etc.)

    • Known blackout dates or maintenance blocks (12 months ahead)

    • Submit information via the Add Property Form

4. Branding & Communications

  • Create a dedicated brand email for Felix-related communications (e.g. stays@yourbrand.com

  • Ensure email forwarding is enabled (check for admin restrictions)

  • Enable SMTP AUTH to allow Felix to send branded guest emails on your behalf

  • Share brand assets: logo, colour codes, social media links

  • Submit via the Onboarding Form

5. Team & Access Management

  • Assign dedicated internal contacts for:

    • Accounting and financial queries

    • Property management

    • Legal document approvals

  • Add relevant team members to platforms like Stripe with correct role permissions

6. Booking Policies & OTA Setup

  • Choose a base cancellation policy during onboarding

  • Review and customise policies per property/channel post-onboarding

  • Stay informed of OTA-specific terms.
