At the end of financial year, clients require a summary report for tax purposes.
Fortunately, OTA Plus provides the resources for owners to access all reports themselves directly inside their owner dashboard.
Firstly, you need to make sure the owners have access to their dashboard.
To do this, you need to check the property settings.
This can be done either by going to the Property > Property Search F2 page and double-clicking on the relevant property, or by entering the property or owner name into the Property Search box on the top of any screen and then double-clicking on the property:
Once you have double-clicked the property to open the property settings, you need to navigate to the 'Property Owners' tab. Then select the 'Client Login' sub-tab. If the invite hasn't been sent or you can't see any previous login, then it is worth clicking on the 'Action' button and hitting 'Resend invite':
You can impersonate an owner to view their dashboard from OTA Plus. If necessary you can print and send their statements to them in this manner, but we recommend owners access these reports themselves.
To access an owner's dashboard, go back to the property search F2 page (or use the property search bar) and click on the dashboard button relevant to that property:
This will open up a view of the owner's dashboard. There are 3 reports which can be downloaded from this page. The main end of financial year summary is available from the right hand side of the main section via the printer icon:
Further down the dashboard, owners can print out a financial year booking summary report and expenses report from the other two printer icons:
There are no special EOY functions to perform, but you should be mindful to:
- Disburse all bookings to be included in the owner's current financial year reporting before EOM (you can backdate booking disbursements to June 30 if completing this procedure after June 30)
- Create and post any supplier bills that need to be reflected in the owner's current financial year before EOM (again, payments can be backdated to June 30 to be included in the FY)
- Perform reconciliation for the 30th of June for the financial records as soon as possible after the EOM
